VOLUNTEER AND PROJECT COORDINATOR


​Job Description

Reports To: Volunteer & Equine Skills Manager
Status: Part-Time, Up to 30 Hours per Week
Location: LifeStriders, Waukesha, Wisconsin


​Position Summary:

The Volunteer & Project Coordinator supports the day-to-day coordination and engagement of LifeStriders’ volunteer community while providing project coordination and implementation support across the organization.
Approximately 60% of the position is dedicated to volunteer coordination and 40% to organizational project coordination. The role serves as a primary point of contact for volunteers and supports onboarding, scheduling, communication, training, engagement, and volunteer records.
The position also coordinates a variety of organizational projects and initiatives as assigned and requires strong organization, communication, follow-through, and the ability to manage multiple priorities in a dynamic, mission-driven environment.

Essential Duties and ResponsibilitiesVolunteer Coordination | Approximately 60%
  • Coordinate volunteer inquiries, onboarding, scheduling, communication, and ongoing engagement across LifeStriders programs and activities.
  • Serve as a primary point of contact for current and prospective volunteers, providing timely information regarding opportunities, schedules, requirements, and expectations.
  • Maintain accurate volunteer records, schedules, participation data, and documentation within organizational systems.
  • Coordinate volunteer orientations, training sessions, meetings, and educational opportunities in partnership with the Volunteer & Equine Skills Manager and appropriate staff.
  • Collaborate with staff to identify volunteer needs and coordinate appropriate placement and coverage for programs, events, and organizational activities.
  • Develop and distribute volunteer communications, training materials, informational resources, and reminders.
  • Under the direction of the Volunteer & Equine Skills Manager, coordinate volunteer engagement, appreciation, and recognition activities throughout the year.
  • Track volunteer participation and relevant metrics and prepare reports or summaries as requested.
  • Support consistent application of LifeStriders volunteer policies, procedures, expectations, and organizational standards.
  • Foster ongoing relationships with volunteers to strengthen engagement, connection, and retention.

Project Coordination | Approximately 40%
  • Coordinate organizational projects and initiatives as assigned by the Volunteer & Equine Skills Manager and organizational leadership.
  • Develop and maintain project timelines, task lists, documentation, and tracking tools to support successful execution.
  • Coordinate project activities and communications among staff, volunteers, vendors, community partners, and other stakeholders as appropriate.
  • Track deadlines, deliverables, and action items and proactively follow up to keep projects moving forward.
  • Provide coordination and implementation support for projects related to programs, operations, events, development, facilities, communications, and other organizational priorities.
  • Conduct research, gather information, organize resources, and prepare materials or documentation in support of assigned projects.
  • Coordinate project meetings as needed, including documenting action items and following up on commitments.
  • Identify potential challenges, delays, or resource needs and communicate them to the appropriate organizational leader.
  • Maintain organized project records and provide status updates through project completion.

Administrative and Organizational Responsibilities
  • Build positive and professional relationships with volunteers, staff, participants, families, community partners, and other LifeStriders stakeholders.
  • Maintain confidentiality and appropriately handle volunteer, participant, employee, and organizational information.
  • Participate in staff meetings, training, special events, and organizational activities as appropriate.
  • Demonstrate flexibility and adjust priorities based on changing organizational needs.
  • Perform additional job-related duties and projects as assigned.

Schedule
  • Part-time position scheduled for up to 30 hours per week based on organizational and volunteer program needs.
  • Approximately 60% of scheduled time will support volunteer coordination and 40% will support organizational projects, with allocation fluctuating as organizational priorities require.
  • This position is required to work on-site at the LifeStriders Waukesha campus three days per week on a rotating schedule based on volunteer coverage, programs, and organizational needs.
  • Schedule flexibility is required and will include a minimum of one Saturday per month and may periodically include evenings or weekends to support volunteer orientations, training, engagement activities, organizational events, or other volunteer-related activities.

Minimum Job Requirements
  • High school diploma or equivalent required; associate or bachelor’s degree in business, nonprofit management, communications, project management, human services, or a related field preferred.
  • Minimum of 2–3 years of relevant experience in volunteer coordination, project or program coordination, nonprofit operations, administrative support, or a related area.
  • Demonstrated ability to coordinate multiple activities, projects, or priorities simultaneously.
  • Experience working with volunteers, nonprofits, community organizations, or other mission-driven environments preferred.
  • CPR and First Aid certification preferred or willingness to obtain as required.

Knowledge, Skills, and Abilities
  • Strong organizational, planning, and project coordination skills with excellent attention to detail.
  • Strong interpersonal skills and ability to build positive relationships with volunteers, staff, participants, families, and community members.
  • Excellent written and verbal communication skills, including the ability to develop clear volunteer communications and project materials.
  • Ability to independently organize work, establish priorities, meet deadlines, and follow through on commitments.
  • Ability to manage multiple responsibilities and adapt to changing priorities.
  • Demonstrated proficiency with technology and common workplace software, including databases, spreadsheets, shared documents, email, scheduling tools, and web-based systems, with the ability to quickly learn and effectively use new technology and software platforms. 
  • Ability to maintain accurate records, track information, and prepare reports and summaries.
  • Strong problem-solving skills and sound judgment, including recognizing when issues should be elevated to the appropriate leader.
  • Ability to collaborate effectively across functional areas and with individuals in a variety of roles.
  • Self-motivated with a strong sense of ownership, accountability, and follow-through.

Physical Requirements / Work Environment
  • Ability to work in an active nonprofit campus environment that includes office, program, barn, and outdoor settings year-round.
  • Ability to move throughout the LifeStriders campus and navigate uneven indoor and outdoor surfaces.
  • Demonstrate awareness of general safety practices when working in the vicinity of horses and follow LifeStriders equine safety procedures.
  • Ability to sit, stand, walk, bend, and perform routine physical activities associated with volunteer programs, events, and organizational projects.
  • Ability to occasionally lift, carry, move, or transport supplies and materials weighing up to 35 pounds.
  • Ability to periodically work outdoors in varying weather conditions year-round.
  • Regular exposure to horses, hay, dust, barn allergens, and other elements associated with an equine facility.
  • Ability to perform the essential functions of the position with or without reasonable accommodation.
